The Next Step
When you have found a home that suits you, and when you are in a position to proceed, fill in our application form and pay a holding deposit; this is usually deducted from your ingoing account subject to the conditions on the application form.

References
We will ask for references from your bank (if you are paying the rent), University/college and from a previous Landlord (if applicable) or other appropriate referees to confirm your standing.
Fax numbers or email addresses for your referees will certainly speed things along if you can get these for us.

ALL tenants must supply references and we must have received satisfactory replies to
these references.

Guarantors
As a student you will need to provide a guarantor who is able to provide appropriate references and who will guarantee the payment of rent and performance of all the terms and conditions of the Tenancy Agreement.

Guarantor information

If you are proposing to stand as a guarantor for a tenant we will need your consent for us to carry out a Credit Search. Your liability for rent will only be in respect of the person for whom you are Guarantor and your liability for damage to the property and other tenant liabilities will be limited to a proportionate share (eg. a fifth share if there are five tenants).

A full inventory will be drawn up at the beginning of the tenancy so that there is a clear and agreed record of the condition of the property at the start and finish of the tenancy. By arrangement with the tenants we will carry out inspections of the property during the tenancy and whilst we will not trouble you with minor issues we may contact you if there are significant rent arrears or other matters of significant concern during the tenancy. Whilst we naturally recognise that guarantors have a strong interest in matters arising during the tenancy, we do ask you to recognise that the tenant whom you are guaranteeing has the prime responsibility, and being of adult age, is our primary contact.


The Tenancy Agreement
Your Agreement will be for a fixed term, minimum six-month period, unless specifically agreed otherwise.

ALL TENANTS MUST SIGN THE AGREEMENT before keys are handed over.

If your circumstances change and you wish to leave before the end of the Agreement you will continue to be responsible for the rent and other obligations until the expiration of your tenancy or until the property is re-let. You will also be required to contribute towards the administrative costs of any re-letting.

What does it cost and when do I pay?
Before you move in, you will be asked to sign the Tenancy Agreement, pay one month’s rent in advance together with a slightly larger sum as a returnable deposit plus a share of administration costs. If you wish to pay by cheque then you must give it to us at least seven clear working days before the letting commences. If you wish to pay on the day you move in, your account must be paid by Bankers Draft, Building Society Draft, cash or some credit/debit cards.

If you are reserving a property before the end of June so as to move in during September, your ingoing account must be paid in full by 30th June; in these circumstances, this can be paid by cheque.

At the end of the Tenancy you will pay a contribution towards the cost of the final inventory check.


Problems during the tenancy
At the commencement of your Tenancy, you will be allocated a dedicated Property Manager who will be your point of contact throughout your Tenancy.

Your Property Manager can be found in the Property Management Department situated on the upper level of our Bournemouth Office and is open Monday-Friday 09.00 to 5.30 and Saturday 9.00 to 12 noon.

Please call your Property Manager if anything goes wrong, needs repair or causes you a problem.

Payment of rent
Your rent is normally due calendar monthly in advance by Standing Order. We must receive the rent on or before the date on which your tenancy commenced. To allow for the delay in bank transmission time your standing order will be dated three days earlier than the rent due day: late payment may incur surcharges.

Further Information

Shared Liability
During your tenancy you will have ‘joint and several’ liability for the rent and all other responsibilities concerning your letting. This means that you could be responsible for any rent shortfall or damage cost if another tenant fails to pay. You are jointly renting a complete property, you are not renting a room.

Water Rates
With furnished lettings the Landlord will usually pay the Water & Sewage Rates. With unfurnished lets, or where the water is metered, these will usually be the tenant’s responsibility –your Negotiator will confirm the position when you reserve a property.

Council Tax
During the occupation of a property, Tenants will be responsible for the payment of Council Tax. Most students are exempt from this charge and can obtain a certificate from their college/university. Remember that all occupants may become liable for Council Tax if any one Tenant ceases to be a student in full time education.

Insurance
You should arrange your own insurance for your personal effects including cover for freezer contents. Allan & Bath can arrange cover for you at very competitive rates – do ask for details.
Insuring the building will be the Landlords responsibility and any potential claims which may affect the building must be notified to us immediately.

Electricity and gas
Usually the Landlord will not be responsible for the payment of electricity and/or gas.
We will transfer the relevant accounts into the tenants name(s). However you may receive an account which is not in your name or has incorrect readings; please forward this to us immediately so that we may rectify the situation.

Electricity Meter
There are two kinds of meter used in properties and these are listed below.

  Quarterly meter – a reading is taken each quarter and a bill is generated by the electricity board based on that reading.

Key meter- a ‘smart’ key is used to credit the meter with electricity; the key can be credited with electricity in various places including your local Spar shop.

 

 

 

Night Storage Heating System
To operate the night storage heating system, first locate the fuse board. Generally, the larger consumer unit (fuse box) is for the main supply, whilst the smaller consumer box operates the night storage system.

Ensure it is switched on (when not in use for long periods, we suggest the night storage consumer unit is switched off).

Next to each of the heaters, at around skirting board level, are switches. These operate the heaters individually and must be on for that particular heater to function.

Never cover a night storage heater as built in safety features (thermal cut off) will engage and need to be reset by an electrician at a cost to yourself.

Night storage heaters work using cheap rate electricity (supplied at night) to heat special bricks. The stored heat is radiated during the day, until the charging process begins again.

There are two controls on a night storage heater. The input dial controls the temperature to which the bricks are heated. The higher the setting, the hotter the bricks will become. The output control merely operates a flap so that you can regulate the flow of heat. Obviously if the flap is open, the bricks will lose their stored heat more rapidly. We suggest that the output dial is only used as a boost.

Immersion Heater
The electric immersion heater provides hot water and is usually fitted with a timer to regulate its operation.

Some people take the view that the immersion heater should be constantly turned on so that the water is kept at a constant temperature by the built in thermostat; the most efficient method of operation can only be determined by the tenant.
